Representatives Overview

Our wonderful Representatives are the heart of the PTV!

A Representative leads (or coleads) a particular group, and is the face of the PTV for said group. They help build community, drive engagement among families, and uphold the values of the PTV to the best of their abilities.

Representative Structure

Rep Coordinator (Appointed PTV Board Position)

  • Oversees the reps and class parents

  • Oversees the recruiting process

  • Acts as a mediator as needed

  • Assists the board in liaising with the reps for various social activities like WF, MOC etc.

Four School Reps:

  • One EC Rep

  • One Junior School Rep

  • One Middle School Rep

  • One Senior School Rep

Grade Reps for Grades 1-5, 6-12.

  • Junior School: One per grade, preferably two.

  • Middle School & Senior School: Two per grade

Class Parents

  • for EC through Grade 5 - preferably two per homeroom

Limitations

  • Grade Reps:

    • A parent can only represent 1 grade per year

    • Minimum 1, preferably 2 reps per grade

    • Grade Reps can't be a Class Parent concurrently

  • Junior School Rep

    • Can be a current Grade Rep, but not a Class Parent concurrently

    • One parent cannot hold the role of all three concurrently: Class Parent, Grade Rep and JS Rep

  • Role Retention

    • All Representatives interested in continuing in their role will apply during the open application time. A current role does not guarantee the same role next year.

    • If a Rep does not behave in accordance with the guidelines and values, the Board reserves the right to remove a parent from the role of a Representative after attempting to remediate the situation.

Representative Recruitment

To fulfill our vision of celebrating Unity through Diversity, the PTV Board seeks to encourage more parents to participate as Representatives. Therefore, we will open an application window in late spring for the following year. Once all applications have been received, the Board will make the final decision in partnership with the Rep Coordinator. Parents will be notified of the outcome of their application by the end of the school year.

For the AY25-26 School, the application window will be open from April 28 to May 19. We will be sending out a link to a simple application form that shouldn't take more than a few minutes to fill out.

All Representatives, both new and returning, are expected to attend one of the in person Rep Orientation sessions offered at the beginning of the school year. The intention of the Orientation is to review the guidelines and responsibilities, as well as to connect and build relationships.
